Trauma skilled practice learning for social workers: privacy notice

About this notice

This privacy notice explains your rights under the Data Protection Act 2018 (DPA) and UK General Data Protection Regulation (UKGDPR). It describes the type of information we may hold about you, how it may be used and who we might share it with.

Personal data (which we will call ‘data’ throughout the rest of this notice) means any information that might identify you.

EventBrite are the platform we use to allow you to sign up for events. They are a USA based company so outwith the EEA. Their privacy notice is available. 

Trauma Responsive Social Work Services is part of the Office of the Chief Social Work Adviser and Directorate for Children and Families in Scottish Government.

Why we need your data

We gather this information in order to communicate regarding our training sessions and requests to complete pre-course, post-course and follow up session evaluation forms.

We also ask for your post-qualifying start date to ensure you meet the course eligibility criteria and for evaluation of the project.

The personal data will only be used by the Office of the Chief Social Work Adviser for the purposes of providing updates on trauma skilled practice learning. We will not pass your details to anyone else. We will only keep your personal data for a period of 5 years from the date we receive it, after which time it will be destroyed. Individuals can request for us to remove their details by contacting TRSWS@gov.scot.

We will use the information above and the completed anonymous surveys for evaluation purposes and to improve and develop the training content and delivery.

What data do we request

We request: 

• your name
• your work email address
• how long you been employed in social work practice.
• the service area you work in
• your employer (local authority/health board/organisation)

Anonymous data

A key part of our evaluation process will be the completion of pre, post course and follow-up session questionnaires. The questions asked will relate specifically to the course content, knowledge, understanding, and practice skills relating to trauma informed practice We will use these completed forms to inform development of our course and follow- up process. Practice and service area questions will be asked but not linked with individual’s names. These questions will be on the anonymous evaluation Microsoft form.

Who can access your data

Your data will only be viewed by authorised people within the Trauma Responsive Social Work Service.

How we keep your data secure

We are committed to protecting and respecting your privacy. Your data held by the Scottish Government will be managed effectively by the Trauma Responsive Social Work Service and stored in a secure location, and on secure IT systems on secure servers. Your data will not be shared outside the UK.

The legal basis for processing your data

The Scottish Government have exercised their public functions under our official authority or to perform a task in the public interest (this is known as the ‘public task’ basis).

Your rights under data protection legislation

You have the right to be informed of the use of your data. This is done through this privacy notice. If you have any further questions about how your personal data will be used, please contact trsws@gov.scot

You can ask us to update our records if:

• you believe that the data we hold is inaccurate
• you believe the data we hold is incomplete
• there has been a change in your employment role
• there has been a change in your employment location

If you are unhappy with the way in which we process your personal data you can request that we stop or restrict the processing we carry out using your personal data or ask us to delete the personal data we hold about you.

Request a copy of your data

You can request a copy of any personal data we hold about you by making a subject access request (SAR) under UK General Data Protection Regulation.

Due to our lawful basis, and our requirements to keep records for auditing and reporting purposes, we may not be able to delete your records, or all of your records, if you request this, but we will assess all requests on a case-by-case basis.

The right of data portability allows individuals to obtain and reuse their personal data for their own purposes across different services. This does not apply to the Trauma Responsive Social Work Service, as we are processing personal data under the public task basis.

These rights are not absolute, and may be subject to exemptions. If an exemption is applied we will inform you of that at the time.

Complaints about data processing can also be made to the Scottish Government’s Data Protection Officer:

If you feel we have been unable, or unwilling, to resolve your data rights concern, you have the right to lodge a complaint with the Information Commissioner's Office (ICO). The ICO are the supervisory authority responsible for data protection in the UK.
